Terms and Conditions:                      

  • Program Room use is available Sunday-Saturday from 9:00 am – 8:00 pm. During cookie season some rooms may not be available for use.
  • Projects requiring the use of paints, glitter, dyes, or heated materials will require pre-approval. Contact the Customer Care contact in advance for instructions regarding these project types.
  • Rooms are to be left in a clean and orderly fashion after use. Tables and chairs can be moved to accomodate your event, but must be returned to their original set up.
  • After each use, a Program Room Checklist form must be completed and left on a table in the program room.
    • Damages and general maintenance needs are to be reported on these forms.
  • Emergency situations, such as fire, power outages, malfunctioning plumbing, and gas leaks are to be reported to the Emergency Contact listed above.
  • Further emergency information is provided on the Emergency Procedures form.
  • Volunteer, identified on the Program Room Use Agreement, accepts responsibility for all damages to the space that occurs during the meeting. Normal wear and tear are expected.
    • Property damage fees will be assessed based on the cost of time and materials for the repairs.
  • The Council reserves the right to revoke property use privileges for misuse or failure to follow GCNWI guidelines.

Serious Injury/Emergency

Tornado/Severe Storm

  • In the event of severe weather, account for all girls and adults.
  • Gather in the main hallway restrooms. Make sure doors are closed.
  • Assume a crouched position with back against the wall and hands on head.

Fire

  • Evacuate the building in a calm and orderly fashion using the appropriate exit(s). Do not use the elevator.
  • Call 911
  • Gather at the south end of the parking lot and await further instructions.
  • Account for all girls and adults.
  • Call the emergency contact or after-hours phone number listed above with the following information:
    • Location of fire
    • Extent of fire
    • Injuries

Mechanical/Power Failure

  • Emergency mechanical problems: such as power failure, furnace failure, gas leaks, overflowing plumbing are to be reported to the emergency contact or after-hours phone number listed above.
  • Minor issues: such as burned-out lights, minor breakage, malfunctioning microwave, etc. should be recorded on the Program Room Checklist.
  • In the event of elevator malfunction(where applicable):
  • Press the alarm button which will immediately sound in the lobby.
  • Wait for emergency/elevator personnel to secure your safe release.
  • DO NOT attempt to force the doors open, even if they are already partially open.
  • DO NOT attempt to jump out of the elevator cab when doors are partially open.

Security

  • Outside doors should be kept locked during the event.
  • Make sure all visitors are accounted for before leaving the gathering place.
Cleaning Procedures
  • Tables/Chairs - wiped off & restored to original configuration.
  • Dishes/Sink– dishes washed and put away, wipe down sink, if used.
  • Kitchen Counters – cleared and wiped down.
  • Floors – picked up and/or swept/vacuumed.
  • Lights – make sure all lights are turned off.
  • Restrooms – make sure all is clean, and lights are turned off.
  • Trash Cans – if full or if food items were thrown in trash during meeting, please dispose of in dumpster; replace trash liner.
